WHAT EVENTS COULD YOU PLAN WITH THE TIDBITS HOST PLANNER?

With the season of gatherings upon us, I felt inspired to create a printable host planner. I wanted it to be something to help us think through and plan all aspects of being a host—for gatherings big or small.

You can use this printable planner PDF for:

  • birthday parties
  • work parties
  • girls’ weekend trip
  • small business conference
  • game night
  • baby shower
  • bridal shower
  • Thanksgiving or Christmas gatherings
  • and more!

Really, the sky’s the limit for the number of events you could use this printable planner for.

My 14 year old just snagged a copy and used it wonderfully to plan a bake-off competition with a few of her friends. I thought it was so cute, and I also thought . . . oh no—my poor kitchen.

WHY YOU SHOULD USE THE TIDBITS HOST PLANNER?

My host planner will help you break down all your ideas, organize your thoughts, and give you a clean, simple place to record and check off the tasks at hand.

Rather than feeling overwhelmed, you’ll feel excited and empowered to make it the best gathering ever.

WHAT IS INCLUDED IN THE TIDBITS HOST PLANNER?

Your planner printable PDF will come with 4 files:

  • front covers
  • back covers
  • a file for the spine cover, which works great if you are binding it in a 3 ring binder with the clear plastic covers to insert papers inside
  • the last file will have your 22 page printable PDF document with all the interior planning pages

Your files for the front, back, and spine covers include 14 cover options! Yes, I went overboard.

These 14 lovely covers are in the same colors I am using this year for my 2021 TIDBITS Day Planner. You can find out more about my physical, digital, and printable day planner over at TIDBITS Planners.

various printed colors of the Host Planner

I am so in love with these colors which I carefully curated, all with lovely gray undertones. There are light colors, dark colors and neutral colors. So I am sure you will find a cover color to love.

I’ve also included this fun patterned design for a cover on the host planner, which coordinates wonderfully with the interior pages.

PAGES INCLUDED IN THE TIDBITS HOST PLANNER

TITLE PAGE WITH NAME

First, you have the title page, where you can write your name so everyone knows this is your host planner.

EVENT DETAILS

Then you have pages to write the event name and details.

  • two pages of the Host Planner for the EVENT NAME and EVENT DETAILS

BRAIN DUMP

These pages are so you can get out all the thoughts racing through your head, put them on paper, and be able to sleep at night knowing you’ll get that mess sorted out the next day. I do love a good brain dump!

GUEST LIST

The next pages are for your guest list. I’ve included a spot for you to write names with checkboxes to mark if they were invited, coming or not coming.

DELEGATION

The next pages are for you to delegate! I’m a firm believer that gatherings are so much better if you’ve shared the load and given others a chance to help. So here you can write their name and what assignment they have.   This could be for your spouse to help, kids, your friend, or for everyone who is planning to come.

CHORE LIST

The next page is for you to just jot down all those chores and to-do’s that need to happen before it all begins, and even for after it ends. Mow the lawn, set up the fire pit, mop the floor, schedule the building, dishes, etc.  This will help you not get overwhelmed, and just work through it one checkbox at a time.

FOOD

You’ve got a page to write your menu and break it down. If you want, I’ve given you plenty of lines if you want to write down who is bringing what for a pot luck style gathering.

  • page of the Host Planner that lists Menu options

If it’s a really big meal, you may need this page on food prep, to time out and schedule your dishes that have to be prepared. Then of course, I have a grocery list page here for you to take shopping.

DECORATE and ACTIVITIES

If it’s a gathering where you want to decorate, there is a section for writing those out and making a supply list. The same goes for the activity page if you are going to need to plan for activities.

REFLECTION

Finally, we have a reflection section with a journal page.  I’m excited to have that to compile my thoughts on all the fun events we enjoy as a family and remember the times we share celebrating together.

The last page is a resource for you to find my other planning products.

HOW TO DOWNLOAD AND PRINT THE HOST PLANNER

What is really great is that you can buy this once, and print it as many times as you want, for as long as you want. After you purchase this very affordable printable pack, you’ll get the download link which I suggest you save right to your computer in a place you’ll remember.

I’ll also send an email with the download link for you to reference if ever needed.

PRINTING OPTIONS

When it comes to printing the files you can do so at home or at a print shop. The print shop will likely give you the most professional look. For the interior pages, you can print front and back or choose to print just on the front side.

If you want to prevent bleed-through on your pages, I suggest printing with slightly thicker paper, which I suggest to be 70lb paper or higher. There is a color on the pages, but it is minimal and you could easily print it in grayscale to save on ink.

For the covers, I suggest using cardstock. I think they will definitely look better from a print shop. I did some troubleshooting with my local printer, and we found that the color is so rich and beautiful if printed on their inkjet printer instead of a digital printer. It will cost a little more, but it turns out so beautiful.

BINDING OPTIONS

Lastly, you have some binding options. You can use a 3 ring binder, which I think is a great option if you plan to build upon and keep printing these for multiple events. You could just print the pages you need for each specific event and collect them there.

For a quick solution and a super legit-looking host, just print and use a clipboard to keep all the pages together.

You could also spiral bind it at the print shop, staple the pages together, stitch them together, put them in a folder or fold them up and stuff them in your purse.  Whatever suits you best.

I really am so excited to offer you The TIDBITS Host Planner printable PDF. If this year has taught us anything, it is that gatherings are so good for the soul. If you can’t use this now, I hope you’ll still grab it while I have it and use it in the near future to bring your loved ones together.
